Privacy Policy

Passports, bank statements and transcripts pass through our hands every week. Here is precisely how DAE Travel & Tours handles them.

1. Why this policy is specific

Travel and study-abroad work is document-heavy. To book a flight or file a visa application, DAE Travel & Tour Consult handles more sensitive information than a typical business: passport bio-data pages, bank statements, academic transcripts, employment letters and sometimes medical or police records. This policy explains exactly what we do with that material, who else sees it, and how long we keep it.

It covers enquiries made through this website, WhatsApp, phone, email and in person at our Atimpoku/Akosombo and Kumasi offices.

2. Information we collect

Enquiry details: your name, phone number, email address and the trip, destination or programme you are interested in — supplied when you complete a form on this site or message us.

Booking and travel details: passport number and expiry, date and place of birth, nationality, gender as shown on your passport, frequent-flyer numbers, dietary or accessibility needs, next-of-kin contact and travel-insurance details.

Application details for study, training or work placements: transcripts and certificates, CV, statement of purpose, language-test results, proof of funds or sponsor letters, bank statements, blocked-account confirmations, employment references and, where an embassy or institution requires it, medical or police clearance documents.

Payment records: the amount, date, method and reference of payments made to us. We do not store full card numbers or your banking passwords.

Website usage: basic technical information such as pages viewed and approximate location, used to understand which destinations and programmes visitors are looking for.

3. How we use it

To quote, book and manage your trip, and to issue tickets, vouchers and itineraries in the exact names your travel documents require.

To prepare, review and submit visa, permit, admission, scholarship and training applications on your instruction, and to correspond with embassies, universities and training providers about your file.

To keep you updated by WhatsApp, phone or email before, during and after travel — including schedule changes, appointment dates and document requests.

To meet our legal, tax and record-keeping obligations in Ghana, and to resolve disputes or complaints.

To send occasional marketing about fares, intakes and scholarships where you have opted in. Every marketing message includes a way to stop; you can also tell your consultant and we will remove you.

4. Who we share it with

Only the parties needed to deliver what you asked for: airlines and consolidators, hotels and ground handlers, travel insurers, embassies and visa application centres, universities, colleges and training providers, language-test and blocked-account providers, courier services, and our payment processors, accountants and legal advisers where required.

Where your destination is outside Ghana, delivering your booking or application necessarily means your information is transferred to and processed in that country under its own laws. We share only what the recipient needs for your specific file.

We do not sell your information, rent our client list, or pass your documents to recruitment or migration agents you have not engaged.

5. Sensitive documents: our working rules

We ask only for documents an embassy, institution or supplier actually requires for your route, and we tell you why each one is needed.

We do not alter figures, dates or content in your documents, and we do not submit anything you have not seen and approved.

Documents shared over WhatsApp or email travel through those providers' systems. If you prefer to hand over physical or scanned copies at one of our offices instead, tell your consultant and we will arrange it.

6. How long we keep it

Booking and application files are kept while your trip or application is live and afterwards for as long as we may need them for reapplications, appeals, complaints and the financial record-keeping periods Ghanaian law requires.

Supporting documents we no longer need for an active or foreseeable application are deleted or destroyed. Enquiries that do not become bookings are removed from our active records once they are no longer useful.

7. Your choices and requests

You can ask us for a copy of the information we hold about you, ask us to correct anything inaccurate, ask us to delete documents we no longer need, or withdraw consent for marketing at any time.

Some information must be retained even after a request — for example records tied to a submitted visa application, a completed booking or our tax obligations. Where that applies we will tell you what we are keeping and why.

Send requests to daegroupafric@gmail.com or raise them with your consultant. We aim to respond within 30 days and may ask you to confirm your identity first so files are not released to the wrong person.

8. Security and fraud awareness

Access to client files is limited to the consultants working on them. Physical documents at our offices are kept in restricted storage and returned or destroyed when no longer needed.

Travel is a common target for impersonation fraud. We will never ask you to pay embassy, tuition or airline fees into a personal account, and we will never ask for your online banking password or one-time codes. If a message claiming to be from DAE asks for either, stop and verify on our published numbers before acting.

No system is completely secure. If an incident affects your information, we will tell affected clients and the relevant authorities what happened and what to do about it.

9. Children and family bookings

Where a booking or application includes a minor, we collect their details from a parent or guardian and use them only for that trip or application, including the consent letters some airlines and embassies require for children travelling.

10. Cookies and this website

This site uses only what it needs to function and to measure aggregate traffic. We do not use cookies to build advertising profiles of visitors. Links to WhatsApp, airline or institution websites take you to services with their own privacy policies.

11. Changes to this policy

We update this policy when our services or legal obligations change. The date below always shows the current version, and material changes are communicated to active clients.
