1. Who we are and what these terms cover
DAE Travel & Tour Consult ("DAE", "we", "us") is a travel, tour and study-abroad consultancy operating from Atimpoku/Akosombo and Kumasi, Ghana. These terms apply whenever you request a quote, book a tour, ask us to source flights, engage us for visa documentation support, or apply for a study or training placement abroad through us.
By confirming a booking or an application in writing — including by WhatsApp, email or a signed form — you accept these terms on behalf of yourself and everyone travelling or applying under your booking.
2. Our role as a consultancy and agent
For tours, flights, accommodation, transfers and insurance, we act as an agent for airlines, hotels, ground handlers, insurers and other suppliers. Their own conditions of carriage or booking conditions apply to your trip in addition to ours, and we will share the relevant ones on request.
For visa and study-abroad work, we act as your adviser and document preparer. We are not an embassy, consulate, immigration officer or university admissions board, and we have no authority to grant a visa, permit, admission or scholarship.
3. Quotes, bookings and confirmation
Quotes we issue are indicative until a booking is confirmed. Airfares, hotel rates, exchange rates, tuition, embassy fees and third-party service charges change frequently and outside our control; the amount payable is the amount confirmed in writing at the point of booking.
A booking is only confirmed once we issue a written confirmation and the agreed deposit or fee has been received. Availability, seat counts and departure dates shown on this website are for guidance and may change before confirmation.
4. Fees, payments and refunds
Our consultancy and service fees pay for professional time, file preparation, correspondence with institutions and suppliers, and ongoing support. They are separate from third-party costs such as airfares, embassy or visa fees, biometrics, tuition, blocked-account deposits, language exams and courier charges.
Third-party fees are paid to those third parties, are set by them and are generally non-refundable once submitted — including where an application is refused. Our service fees are non-refundable once work on your file has started, except where we have failed to deliver the service described.
Payments should only be made through channels we confirm to you in writing. We will never ask you to pay an embassy, university or airline fee into a personal account belonging to a member of staff. If in doubt, verify with us on our published numbers before paying.
5. Visa, permit and admission outcomes
Decisions on visas, study permits, residence permits, admissions, scholarships and training contracts rest entirely with the relevant embassy, immigration authority, university or employer. We prepare and review your file against published criteria and advise on realistic routes, but no consultant can guarantee an outcome and we do not do so.
Where we state a success rate, it describes our past file history and is not a promise about your application. If we consider a route weak, we will tell you and propose a stronger option before you spend money on it.
We do not create, alter, translate falsely or endorse false documents, financial statements or work histories under any circumstances. Submitting misleading information will end our engagement immediately, without refund, and is reported where the law requires it.
6. Your responsibilities
You must give us accurate, complete and timely information and documents, including names exactly as they appear in your passport. Corrections to airline tickets, visa applications or admission files caused by incorrect details are chargeable by the supplier and payable by you.
You are responsible for holding a valid passport with sufficient validity and blank pages, meeting entry, transit and health requirements for every country on your route, attending appointments and interviews you are booked for, and arriving at the airport within the check-in window advised.
We strongly recommend comprehensive travel and medical insurance for every trip. Where insurance is not included in your package, you travel uninsured at your own risk.
7. Changes and cancellations
If you need to change or cancel a confirmed booking, tell us in writing as early as possible. Supplier penalties — airline change fees, fare differences, non-refundable hotel nights, tuition deposits and visa fees already paid — will apply, plus our administrative fee for reworking the file.
We may change an itinerary or substitute a supplier of comparable standard where circumstances require it, and will tell you as soon as we can. Group departures may be rescheduled if the minimum number of travellers is not reached; in that case you may move to another date or receive a refund of amounts not already committed to suppliers.
8. Events outside our control
We are not liable for losses caused by events beyond our reasonable control, including airline schedule changes, strikes, airport or airspace closures, embassy backlogs or policy changes, weather, civil unrest, epidemics, or the acts and omissions of independent suppliers.
9. Limitation of liability
We are responsible for performing our consultancy services with reasonable skill and care. Where we are found liable for a failure in our own services, our liability is limited to the service fees you paid to us for the affected booking or application.
We are not liable for indirect or consequential losses such as lost income, lost study terms, missed onward travel booked separately, or accommodation you arranged independently. Nothing in these terms limits liability that cannot lawfully be limited.
10. Conduct on tours
Travellers must respect local laws, the instructions of guides and drivers, and the comfort of other members of a group. We may end participation, without refund, where behaviour puts the safety, legality or enjoyment of a tour at risk.
11. Marketing, photos and testimonials
We sometimes photograph group departures and campus visits. Tell your consultant if you prefer not to appear in our marketing and we will exclude you. Testimonials are published only with the client's permission and may be shortened for length.
12. Intellectual property
Itineraries, guides, checklists, templates and website content we produce remain our property. You may use them for your own trip or application, but not resell, republish or distribute them commercially without written permission.
13. Complaints and governing law
Raise any concern with your consultant first — most issues are fixed the same day. If a complaint is unresolved, send the details to us in writing and we will respond with our findings.
These terms are governed by the laws of the Republic of Ghana, and the courts of Ghana have jurisdiction over any dispute we cannot settle between us.
14. Updates to these terms
We may update these terms as our services, supplier rules or the law change. The version published on this page at the time your booking is confirmed is the version that applies to it.
